New Features:

Supplier Communication: Allow CC Contact to Respond - When you create a Material PO, Rental PO, Return Order or Service PO, you have the ability to CC an additional external contact to send the order details to. This contact now has the ability to respond! Any contacts that are CC'd on the order will receive an email with their name as it appears in StructShare. When the order is approved, the email message will include the contact who approved the order and this information will also show on the PO Card in the 'History' tab. If a contact clicks on the 'Reply Here' button after another contact has already responded, they will not have an option to 'Confirm' or 'Reject' the order or upload a document, this user will only see the option to add a message.

We also added the ability to automatically copy additional supplier contacts when you create orders. You will now see 'Auto CC on Orders' in the supplier contact card. When selected, this contact will automatically be CC'd on emails when the associated supplier is chosen. All contacts that have this checkbox enabled will display in the 'Send a Copy' field in the order checkout screen.

Old Rental Workflow Deprecated - We introduced the improved Rental workflow back in April and we recently turned off the ability to create new Rental Orders via the old workflow. Any Rental Orders created via the old workflow will be marked as 'Rental PO (Old)' and previously the 'New Rental PO, Beta' changed to 'Rental PO'.

For an Item to behave as a 'Rental' the item must have 'Rental' as the 'Item Type'. If you create a Rental PO and an item on the PO is missing the 'Rental' Item Type - the system will display a dialog per line for the option to "Fix Item" (make it a 'Rental' item type)or leave it as it is. After "fixing" an Item, the item will automatically become a 'Rental' and the item will now display the 'Rental Days' and 'Price per Day' attributes.

Items in your Database that have 'Day', 'Week' or 'Month' previously populated (before clicking "Fix Item") will be auto converted and auto populated according to the conversation table below.

Any other Units will require the customer to fill all relevant Rental data manually.

Projects View: Division and Tax Exempt Column - We added two new columns to the 'Projects' view; 'Division' and 'Tax Exempt'. The 'Division' can be set at the Project level and will display in this column when set up. If a Project is marked as 'Tax Exempt' you will see a green checkmark in this column. These columns are exportable and if hidden, the column preference will be saved for the user.

Settings

Notifications - Previously if you had a user in StructShare marked as a 'Warehouse Admin', any orders that are shipped from a Warehouse (Warehouse = Supplier), StructShare will send an email to the contacts marked as a 'Warehouse Admin'. This is intentional as they are the 'Supplier' supplying the material. You now have the ability to disable these notifications. A user will receive an email if both the 'System Settings' and 'Project Settings' notification box is enabled.

  • SystemSettings → Notifications

If at least one of these checkboxes is OFF - the customer won’t get an Email.

Disable Free Text - When you select the 'Disable free-text entry' option in 'Settings', it will now disable the ability for users to add items to an order via the 'Use as Entered' option.

Catalogs: Search - We updated the search capabilities system wide by adding the ability to search for an item by UPC, Model # and Manufacturer.

  • Company Catalog- Search by Item Name, Search Keyword, UPC, Model #, and Manufacturer
  • Line Items and Project Line items- Search by Item Name, PO #, UPC, Model #, and Manufacturer
    • Added ability to filter by Manufacturer
  • BoM- Search by Item Name, Reference Item, UPC, Model #, and Manufacturer
  • Project Quantities- Search by Item Name, UPC, Model #, and Manufacturer
    • Added ability to filter by Manufacturer
  • Supplier Catalog- Search by Item Name, Reference Item, SKU, UPC, Model #, and Manufacturer
  • Order Flow- Search by Item Name, Search Keyword, Category, UPC, Model #, and Manufacturer

 

RFQ Updates

RFQ: Date - We adjusted the order of the RFQs in the 'RFQ' tab in the 'Open Activities' screen so that they are organized by the date and time that an RFQ is sent.

RFQ: Attachment - You now have the ability to upload a document to an RFQ even after a supplier sent a quote. Additionally, by clicking on the green 'Quote' button to view the quote, you can remove the document that was sent by the supplier.

Invoice Updates

Billed Quantities Approval, Running Total - When you approve the billed quantities in the invoices screen, you will now see 'Items Selected' and 'Total Amount' at the bottom of the billed quantities drawer based on the line items selected, unit price and sum of the line items being billed and approved. This will help you keep track of when the amount being billed matches the total on the invoice. The value will be the sum of all the items that have the check box marked and quantities billed populated based on the PO Unit Price. If a user edits the values under the 'Quantity Billed on this Invoice' column, the new 'Total Amount' field will update accordingly.

Invoice Sync Indicator- We added a sync indication to the 'Invoices' screen in the card view similarly to what you see on the PO card that will display the status of the invoice sync with an ERP integration. As an invoice sync is in progress, the arrow will show in orange. If the invoice fails to sync, the icon will be red and a successful sync will show in green. This same status will display in the table view in the 'ERP Sync' column.

We also updated the PO dropdown in the 'invoices' screen and the ''Item Name' dropdown when you 'Create Warehouse Item' in the Warehouses screen.
